Policies

Following evaluation, an ongoing weekly therapy session spot will be decided on (weekday and time). Keeping to the scheduled sessions as much as possible is a vital part of the therapy process. It is expected that clients maintain an 80% attendance rate. Therapy missed due to holidays, inclement weather, and clinician cancellations will not be factored in this attendance rate expectation.

It is understood that things come up and that client families have other commitments. Non-emergency cancellations require 24 hours’ notice (e.g., vacations, pre-planned medical appointments, family events, school events). If non-emergency cancellations become excessive and the expected attendance rate is not maintained, the client may lose his/her designated therapy spot (written warning will first be provided if your spot is in jeopardy). While 24 hours’ notice is not required of emergency cancellations (e.g., illness, injury, emergent transportation issues), please notify clinician as soon as possible.

Please do not attend therapy sessions with a fever, strep, covid, unidentified rash, diarrhea, vomiting, or any highly contagious illness. Individuals must be fever-free, without fever-reducing medication, for 24 hours prior to the session.

Therapy sessions will not be scheduled on the following days/holidays- New Year’s Eve & Day, Good Friday, Memorial Day, Independence Day, Labor Day, Thanksgiving Day & Black Friday, December 23-26. Please also be aware that clinician will likely be out at least 1 week each summer.

Decisions regarding delays or cancellations will be made based on Leander ISD. Communication of decisions will be sent to parents/caregivers as soon as possible.

Make-up sessions will be attempted as the schedule allows. Make-up sessions are encouraged as they are in the client’s best interest, so please work with the clinician to make up any missed sessions. Make-up sessions will not be offered for No-shows (see below).

A "no-show" occurs when a client is not available within 7 minutes of the scheduled start time for evaluations or therapy sessions without prior notice given by family. At which point, client will forfeit their evaluation/session for that day and will be billed a $60 No-show fee.

Please ensure that at least one parent/caregiver be home during sessions taking place within the home. Parents have the option of being present in the actual session or not (being somewhere else in the home during sessions). This can be fluid from session to session depending on child participation and parent preferences. If for any reason a parent/caregiver is not available to be at home during a session, parent may give permission for another adult (at least 18 years) to be present in the parent's place. If this is the case, please ask for the necessary permission form.
